A direct hire role is open with our St. Clairsville, Ohio client for an Estate Admin / Paralegal who will perform substantive legal work under the direction of one or more attorneys in the office. The primary goal is to support the legal team with legal research, drafting memos, correspondence, probate forms, etc.

 

Responsibilities:

  • Provides quality service to clients at a lower billable rate than an attorney, providing a benefit to the clients of the Firm.
  • Performs duties under the direction of the one or more attorneys to whom they may be assigned. The Estate Administration Paralegal’s employment relationship with the Firm is managed by the Executive Director.         
  • All work done must be in support of and under the direct supervision of an Attorney. 

    Daily

    • Review Upcoming Case Deadlines
    • Review daily, weekly, and upcoming monthly calendar items and prioritize work load
    • Complete tasks
    • Triage and prioritize responses to emails
    • Organize, sort, and summarize case information and files
    • Draft letters/ reports/ documents/ forms
    • Manage, prepare and organize client files, information and responses
    • Prepare for intake calls and client meetings
    • Enter Invoices
    • Enter billable time

    Weekly

    • Follow up & collect invoices
    • Send Weekly report of Accounts Receivable and expected Revenue
    • Meet with associate and legal team for case status updates
    • Provide client updates
    • Track Key Performance Indicators
    • Attend Case Status Update Meetings and update records

Estate Administration 

  • Complete Client Intake Calls to evaluate if they are a qualified candidate for services
  • Lead client meetings to sell legal services
  • Follow up with those PNCs who did not hire the firm during their initial sales conversation
  • Scheduling next steps / appointment for prospects and clients
  • Communicate with clients and other parties to provide updates and gather information; answer basic questions about the status of the case

Probate

  • Lead client meetings
  • Communicate with clients and other parties to provide updates and gather information; answer basic questions about the status of the case
  • Schedule case events
  • Monitor case progress, deadlines, and important timeframes
  • Draft documents; draft letters and court documents; fill out legal forms; write reports, etc.
  • Maintain and organize files
  • Manage, prepare and organize client files, information and responses
  • Manage client relationships
  • Basic data entry and update case management system
  • Help attorneys prepare cases for filing
  • Research laws
  • Use Probate software to prepare county specific probate forms
  • Contact County Probate Court to confirm county specifics for filings
  • Enter billable and non-billable time in the case management system
  • Manage Accounts Receivable for all Probate Cases by Invoicing & Collecting payments in a timely manner 

Trust Administration:

  • Lead client meetings
  • Communicate with clients and other parties to provide updates and gather information; answer basic questions about the status of the case
  • Schedule case events
  • Monitor case progress, deadlines, and important timeframes/milestones
  • Draft documents; draft letters and court documents; fill out legal forms; write reports, etc.
  • Maintain and organize files
  • Manage, prepare and organize client files, information and responses
  • Manage client relationships
  • Basic data entry and update case management system
  • Manage Accounts Receivable for all Trust Administration Cases by Invoicing & Collecting payments in a timely manner

  

Education & Experience:

  • Completed a course of study offered by a college or university especially and will possess a certification as a trained paralegal OR have at least 3 year of experience as a paralegal.
  • Previous experience in a law firm.
  • Experience as a legal secretary or legal assistant is especially pertinent, and candidates with this background will be given preference.
