The Project Support Analyst (PSA) in this remote contract role will be responsible for supporting Project and Program Managers in the development and maintenance of high quality delivery plans; obtaining and recording data about the execution of those plans; and producing various reports which will assist the Project Managers and other stakeholders in keeping projects on track and provide information on delivery status to management and executives in the organization.
 
**Most of the work will be remote (working EST hours), and conducted away from the office, visits to various offices in the US and potentially overseas, may be necessary. 
 
Responsibilities:
  • Maintain good relationships with numerous people involved in the successful delivery of projects and become a trusted partner in maintaining true and accurate records of risks and issues, decisions, records of meetings, and many other key project data as directed by the Project management.
  • The role will involve supporting projects impacting teams across the world, in many different time-zones. While most work will be in normal office hours, flexibility is required to join meetings and occasionally work at other times.
  • Assist in the smooth running of one major project, or several smaller projects. This will include supporting the Project Manager with the creation of Project Plans and other related documents such as risk and issue logs, and to work alongside team members to record progress and assist in co-ordination.
  • The PSA will report to the PMO Director, who will assign the PSA to support specific projects as required.
  • Most of the projects will be technology enabled business change projects. An understanding of how to communicate well with team members from IT and business is key, as is an awareness of the issues of achieving change in business.
  • Work with the Project Manager(s) to develop and maintain Project Plans and key project documents.
  • Work with Project team members and key stakeholders to maintain a complete and honest record of progress and record impacts of any changes.
  • Conduct virtual team meetings and ensure team members are aware of the plans and changes as they occur.
  • Provide regular and ad-hoc reports and updates to the Project Manager, Project Board, SteerCo and other stakeholders.

 

Qualifications:

  • The PSA must be very experienced in the use of Project Management and Office tools, such as Smartsheet, MS Project, Excel, Word, Powerpoint and Visio.
  • Smartsheet is used as the key tool for Project Plans and for many other project documents. Experience with this would be highly desirable, alternatively, good MS Project and Excel skills.
  • Should also be able to coordinate project activities, especially regarding testing. This will involve working with Business and Technical team members to ensure test plans are followed, tests executed, results recorded, bugs classified and reported, errors corrected, tests re-executed etc. To maintain test logs and relevant data to support the Project Manager.
  • Must be able to prepare regular project reports for Project Managers, Project Boards, PMO Director, and key stakeholders. This will involve presenting data in various ways – especially dashboards and tables.
 
Key personal skills for an effective PSA are:
  • The ability to see ‘behind’ the data and draw conclusions and make recommendations to the Project Manager
  • The ability to gain the trust of Project Team members so that they report honestly about progress and do not try to exaggerate progress, minimize difficulties, or hide risks.
  • The awareness of when to escalate issues to the Project Manager of PMO Director, , so that they are addressed before they become more serious.
  • Good communicator with business and technical team members and stakeholders at different levels
  • Good understanding of the principles of Project Management
  • Solid experience with Project Management tools
  • Ability to operate as a member of a team and support their needs in terms of project planning and reporting
  • Meticulous record keeping, time management.
  • Ability to gain the confidence of team members, identify the true level of progress, and the ability to ‘speak truth to power’.
  • The ability to summarize quantities of data into key messages to assist in effective delivery of the Project outcomes
